Basic Outlook and Microsoft 365 Sign-In Troubleshooting

Quick answer

Many sign-in problems come from using the wrong account type, an expired session, an incomplete multifactor authentication (MFA) prompt, or a temporary application problem. Use only your assigned work or school account and stop if the request looks unfamiliar.

Before you begin

Confirm you have internet access by opening a known business website.

Know your full work email address. Do not use another employee's account.

Never share your password, MFA code, or Authenticator approval.

Do not approve an MFA request you did not initiate.

Safe first steps

  1. Write down or safely capture the complete error message and error code. Do not capture a password or MFA code.
  2. Confirm the sign-in window shows your correct work or school email address, not a personal Microsoft account.
  3. Close Outlook or the affected Microsoft 365 application and open it again.
  4. If the application still fails, restart the computer once.
  5. Open microsoft365.com in your normal approved browser and select Sign in.
  6. Enter your assigned work email address and follow your organization's normal MFA process.
  7. If Microsoft displays Let's keep your account secure, follow only the approved registration method. Contact PCMIT if you are unsure.
  8. If web access works but the desktop application fails, record that difference in the support ticket.

Do not attempt these changes without PCMIT

  • Removing the work or school account from Windows
  • Deleting an Outlook profile or local mail data file
  • Reinstalling Microsoft 365
  • Disabling MFA or security software
  • Repeatedly resetting the password
  • Accepting an unfamiliar device-management or organization prompt

Managed customers may have security, licensing, or device-compliance policies that require administrative review.

Expected result

You can sign in with the assigned work account and open the required Microsoft 365 service. If only one application remains affected, PCMIT has a clear browser-versus-desktop comparison for further troubleshooting.

⚠️ Stop and contact PCMIT when

⚠️ The account is blocked, disabled, unlicensed, or not recognized.

⚠️ You receive repeated or unexpected MFA prompts.

⚠️ The sign-in page names an unfamiliar organization or requests consent you do not understand.

⚠️ Microsoft reports an administrator, tenant, device-compliance, or security-policy restriction.

⚠️ You suspect someone else knows the password or accessed the account.
