Before you begin
✓ Save open documents and allow the application to finish saving.
✓ Confirm the computer has a stable internet connection.
✓ Select the OneDrive cloud icon in the Windows notification area to read the current status and any message requiring attention.
Common OneDrive status icons
- Blue cloud beside a file or folder: The item is online-only. It does not use local storage and requires an internet connection to open.
- Green circle with a check mark: The item has downloaded and is available locally, including when the computer is offline.
- Circular arrows: OneDrive is uploading, downloading, or processing changes.
- Paused symbol: Files are not currently syncing.
- Red circle with a white X: A file or folder cannot sync.
- Gray OneDrive cloud with a line through it: OneDrive is not signed in or setup has not completed.
- Yellow warning triangle or brown exclamation mark: The account requires attention. Select the OneDrive cloud to read the message.
- Red no-entry symbol: The OneDrive account is blocked.
- People icon: The file or folder is shared with other people.
- Gray circle with a flat bar: An administrator has blocked that file type from syncing.
Check sync before leaving
- Save the document and close it if you have finished editing.
- Select the OneDrive cloud in the Windows notification area.
- Read the current status and any warning message.
- Wait for active syncing to finish when practical.
- Confirm there is no red X or unresolved warning beside the important file.
- If the file must be available without internet access, confirm it shows an approved locally available state before disconnecting.
Avoid these first steps
- Do not delete the local OneDrive folder to fix a sync problem.
- Do not unlink the business account, reset OneDrive, or move the folder.
- Do not sign in with another person's account.
- Do not share a file more broadly to work around an access problem.
These actions can create duplicate folders, access problems, or loss of an unsynced local change.
Expected result
OneDrive reports that files are up to date, and important documents show the expected cloud or check-mark state without an error badge.
